A designer I was coaching had a case study about a visitor management system he redesigned for a government client.

His portfolio said: "Increased completion rate by 36%."

That is a number. It is better than most portfolios. But it is floating. No scale. No stakes. No cost of the problem.

So I asked four questions.

Who uses this system? About 1,200 officers.

How often? Three times a week.

How long did the old process take? About 15 minutes. Manual entry. Paper logs. Failed checkouts that had to be redone.

How long after your redesign? About 6 minutes.

Then we did the math.

1,200 officers. Three times a week. 48 active weeks. That is about 170,000 check-in cycles per year. 9 minutes saved per cycle. That is 25,000 hours saved per year.

At a conservative public sector rate, that is roughly $875,000 in annual productivity value.

His portfolio said "increased completion rate by 36%." The math said "estimated $875K in annual productivity savings across 1,200 officers."

Both are true. One of them gets shortlisted.

He did not need access to analytics. He did not need a dashboard. He needed four inputs every designer already has from working on the project.
